Healthcare Solutions: digital systems for hospitals, clinics and specialist departments

We work with hospitals and clinics to digitize the administrative and organisational work around the patient: registration and patient administration, appointments, structured medical documentation, and the needs of specialist departments such as ophthalmology. Integration with lab and imaging devices is planned together with technical teams as future integration work, assessed case by case.

What we offer

We start by understanding the patient journey inside the facility: from booking and reception to examination and documentation, referral, follow-up and billing. With management and clinical staff we identify where time is lost, where data is duplicated and what information a doctor needs at the moment of examination. On that basis we design the solution, configure the IAG Health product currently in development to fit the facility, or develop specific modules where needed.

Our scope includes patient registration and administrative records, appointment scheduling by doctor, clinic and room, waiting lists, structured medical documentation using templates defined by the doctors themselves, referrals between departments and administrative reporting. For specialist departments, including ophthalmology, we work on documentation templates that fit the department's usual examinations and workflow, in close cooperation with its doctors.

Connecting the system to lab, imaging and other devices is treated as planned integration work, assessed device by device: which interfaces or data exchange standards the device offers, what the manufacturer or distributor permits, and what validation is required. We do not promise a ready-made integration before that assessment. Access control, permissions and audit logging are designed in from the start, and patient data is handled in line with applicable rules and facility policies. We claim no medical certification for the software, and clinical decisions always remain with the doctor.

Who it is for

  • Public and private hospitalsMany departments and high patient volumes that need coordinated appointments, records and referrals.
  • Clinics and medical centresWant organised appointments, patient records and documentation without a complex or costly system.
  • Ophthalmology and other specialist departmentsHave specific examinations, templates and workflows that general systems cover poorly.
  • Hospital management and health ministriesNeed reliable administrative reports on appointments, occupancy and workload.
  • Investors in new healthcare facilitiesWant to plan the facility's digital set-up before opening, not after.

Problems we address

  • Appointments managed in notebooks or by phone, with crowding at some times and gaps at others.
  • Paper patient files that are hard to find or opened under several numbers for the same patient.
  • Inconsistent medical documentation that makes follow-up between doctors and visits difficult.
  • Specialist departments using their own templates that the facility's general system does not support.
  • Lab and imaging results transferred manually or on paper between departments.
  • No clear management view of patient numbers, waiting times and workload.

Tasks and deliverables

Workflow analysis for the facility
Documentation of the patient journey and administrative processes in the departments concerned, with priorities and problems identified.
Patient administration and registration
A unified administrative record per patient with a unique number, controls against duplicates and clear access permissions.
Appointment system
Scheduling by doctor, clinic and room, with waiting lists and patient reminders through available channels.
Structured medical documentation
Templates whose content is defined by doctors, storing visits consistently to support follow-up.
Specialist department modules
Templates and workflows for departments such as ophthalmology, designed with the department's doctors around their usual examinations.
Device integration assessment
A written assessment of whether specific lab and imaging devices can be connected, and a phased plan for what proves feasible.
Administrative reports
Reports on appointments, occupancy, patient numbers and workload to support management.

Who does what

What IAG does

  • Analyse workflows with management, clinical and administrative staff.
  • Configure IAG Health or develop the required modules and adapt them to the facility.
  • Design permissions, audit logging and technical data protection measures.
  • Assess device integration options and coordinate technically with suppliers.
  • Migrate data from previous systems or records where agreed.
  • Train users and provide support after go-live.

What specialists, partners and authorities do

  • Doctors define and approve the content of medical documentation templates; clinical decisions remain solely theirs.
  • Facility management sets policies on access to and retention of patient data in line with applicable rules and the competent health authorities.
  • Device manufacturers or their distributors provide technical documentation and interfaces and approve any integration with their equipment.
  • The facility's IT department, where one exists, handles the internal network and end devices in coordination with us.

Practical example

Illustrative scenario

Organising appointments and documentation in an ophthalmology department

A hospital ophthalmology department faces morning crowding, and doctors record examinations on loose sheets that are hard to consult at later visits.

  1. Observe the department's workflow for several days and interview doctors, nurses and reception staff.
  2. Design an appointment system with time slots by visit type and doctor.
  3. Prepare documentation templates for the department's usual examinations, reviewed and approved by the doctors.
  4. Pilot the system for a defined period and adjust based on feedback.
  5. Assess, as a later phase, whether one examination device can be connected, in coordination with its distributor.
  6. Train staff and set up a monthly report on appointments and waiting times.

This is an illustrative scenario to explain our approach, not a client reference.

How we work together

  1. Initial assessment

We visit the facility or hold remote sessions to understand departments, existing systems and priorities.

  2. Analysis and design

We document workflows and design the solution with representatives of management and clinical staff, defining the first phase.

  3. Configuration and development

We configure the system, develop specific modules and prepare permissions and data migration.

  4. Pilot in one department

We start with one department or clinic and refine the solution based on actual use.

  5. Expansion and integrations

We roll out to other departments and implement assessed device integrations in phases.

  6. Support and development

We provide support and updates and follow up on feedback under the support agreement.

Intended results

  • Better-organised appointments and a clearer distribution of work across doctors and clinics.
  • A unified administrative record per patient, reducing duplication and searching through paper.
  • Structured medical documentation that makes follow-up between visits and doctors easier.
  • Administrative reports that support resource planning.
  • A realistic device integration plan based on technical assessment rather than assumptions.

What we need from you

  • A project owner from management and a clinical representative for each participating department.
  • A description of departments, clinics, working hours and visit types.
  • Current paper registration and documentation forms, without any real patient data.
  • A list of devices to be assessed for integration, with models and distributor details.
  • Facility policies on access to and retention of patient data.
  • Information about the facility's network, devices and existing systems.

Basis for cost and timeline

Cost and duration depend on the number of departments and users, the modules required, the degree of customisation for specialist departments, any migration of previous data, the number of devices to assess for integration and the chosen operating environment. We usually start with a fixed-price assessment and analysis phase, then price implementation in phases beginning with a pilot department. Device integration assessments are priced separately because their outcome depends on what each device allows. Support and updates are agreed under an annual contract.

Frequently asked questions

Is the system medically certified?

We claim no medical certification or licence for the software. It supports administrative and documentation work, and clinical decisions remain with the doctor. If a particular body requires a specific certification, this is assessed with it separately.

Can the system connect to lab and imaging devices?

That depends on each device, the interfaces or standards it offers and the consent of the manufacturer or distributor. We treat it as planned integration work that starts with a technical assessment, and do not promise it beforehand.

What does the solution offer an ophthalmology department specifically?

Documentation templates and workflows designed with the department's doctors around their usual examinations, alongside appointments and patient records, with the option to assess device connections later.

How is patient data protected?

We design role-based permissions and log every access, apply encryption and backups, and handle data in line with applicable rules and facility policies. No system is free of risk, so we also plan incident response.

How does this service relate to IAG Health?

IAG Health is a product in development for managing healthcare facilities. We use it as a basis where it fits your needs and develop specific modules where required. Availability and scope are confirmed in a project conversation.

Should we send you patient files to assess our situation?

No. We do not request patient files or confidential data through the website. During analysis we work with blank forms and test data, and any later data exchange follows a written agreement and secure channels.
