Purpose

IAG CRM aims to bring the full history of each customer relationship into one place: contacts, meetings and calls, sales opportunities and their stages, quotes sent, and signed contracts with renewal dates. Sales teams and management can see what is happening with each customer without depending on one person's inbox or memory.

  • Service and supply companiesPreparing frequent quotes and tracking several opportunities at once.
  • Business development teamsWorking with partners and investors and needing an organized follow-up record.
  • Companies with recurring contractsNeeding reminders for renewal and expiry dates.

Typical workflow: From enquiry to signed contract

  1. Sales representativeRecord the enquiry

A new enquiry is recorded with contact details and source, and a customer profile is created.

  2. Sales representativeClarify needs

Calls and meetings would be logged in the activity history, with tasks and reminders for next steps.

  3. Sales representativePrepare a quote

A quote is created from a template and moved to the matching sales stage.

  4. Sales managerApprove the quote

Where discounts or special terms apply, the sales manager approves the quote before it is sent.

  5. Contract officerDraft the contract

After acceptance, the contract is drafted and entered in the contract register.

  6. Senior managementSign

The contract would be passed to IAG Sign for approval and signature; the signed version is stored with the customer profile.

Possible application for illustration only. Steps and screens are design drafts; the actual workflow is defined per project.

Operating models

IAG CRM can be operated in one of three models: managed cloud, a private cloud dedicated to the organization, or on-premises installation in the organization's own data center. The choice is made per project based on data protection requirements, available infrastructure, connectivity and internal policies, and is documented in the implementation plan.

The operating model (managed cloud, dedicated private environment or on-premises installation) is decided per project.

Introduction and training

  1. Define the sales stages and customer fields the team actually needs

  2. Migrate existing customer lists after removing duplicates

  3. Set up quote and contract templates

  4. Train the sales team on daily use

  5. Review reports after the first weeks and adjust settings

Maintenance and support

  • Technical support via a ticket system
  • Template and stage adjustments within the agreed scope
  • Updates and maintenance according to an agreed plan

Data takeover

Customer and contact lists from Excel, business-card collections, email folders or older systems would be consolidated with the organization, cleaned of duplicates and mapped to the new fields. Open quotes and existing contracts could be entered in the register. The import would be tested on a sample and taken over only after approval.

Training

  • Training for sales representatives on customer profiles, activities and quotes
  • Training for sales managers on pipeline overview, approvals and reports
  • Training for contract officers on the contract register and the link to IAG Sign
  • Administrator training on fields, sales stages and permissions
